Mobility for doctoral students at SDNH UW under the Erasmus+ programme
Those interested in participating in the Erasmus+ programme should familiarise themselves with the mobility guidelines, which are published on the website of the University of Warsaw’s International Relations Office (BWZ).
Student mobility (study periods abroad)
The Doctoral School of Humanities at the University of Warsaw does not have its own inter-institutional agreements under the Erasmus+ programme. Doctoral students at the Doctoral School of Humanities may make use of agreements concluded by other units of the University of Warsaw, provided they obtain the consent of the Erasmus+ mobility coordinator at that unit.
Recruitment for the placement is conducted by the unit whose agreement the doctoral student intends to use. Questions regarding recruitment rules, deadlines and required documents should be addressed directly to the Erasmus+ programme coordinator at that unit.
Once selected for the mobility period and having completed the formalities required by the recruiting unit and the University of Warsaw’s International Relations Office, the doctoral student prepares a Learning Agreement (LA), which has to be submitted at the SDNH UW for approval. From this point onwards, the SDNH coordinator will oversee the doctoral student’s mobility.
The supervisor’s consent for the mobility also has to be submitted to the coordinator, and the full documentation (the completed LA and the supervisor’s consent) has to be sent to the SDNH UW Office.
Completion of the study programme during mobility
As Erasmus+ mobility is of an academic nature, doctoral students should undertake courses at the host institution during the mobility period.
- Semester-long mobility – at least 10 ECTS credits,
- One-year mobility – at least 20 ECTS credits.
ECTS credits obtained during the mobility period may count towards the study programme at the University of Warsaw’s Doctoral School of Humanities.
Settlement of mobility upon return
Upon completion of the mobility period, the doctoral student has to submit a Transcript of Records (TOR) to the mobility coordinator at SDNH UW. This will confirm the courses they have passed and the ECTS credits they have earned.
Based on this, the coordinator will:
- convert the Learning Agreement in the Erasmus Without Papers system (LA EWP) into a decision on the mobility period (the so-called ‘old-type’ Learning Agreement); and
- convert the grades obtained to the University of Warsaw grading scale.
Once these steps have been completed, the Doctoral School may recognise the completed courses as part of the SDNH UW study programme and the doctoral student can settle their mobility period with the BWZ UW.
Mobility through practices (Erasmus+ Traineeships)
The doctoral students may contact the host institution directly or take advantage of internship opportunities available through agreements concluded by various units of the University of Warsaw. Further details can be obtained from the University of Warsaw’s International Relations Office (BWZ).
Once confirmation of acceptance has been received, a Training Agreement (TA) must be prepared.
The Training Agreement is subject to the detailed regulations of the Erasmus+ programme, and any breach of these regulations may result in the scholarship not being paid. Therefore, before submitting the document, you have to consult its content with Ms Dorota Wiącek at the BWZ (dwiacek@adm.uw.edu.pl).
Once the Training Agreement has been prepared, it is approved by the Erasmus+ mobility coordinator at the SDNH UW. Any subsequent changes to this document also require approval. When submitting the first version of the TA to the coordinator, you must also send your supervisor’s consent to your participation in the placement. The approved plan and the supervisor’s consent must also be forwarded to the SDNH Office.
Further formalities relating to the organisation and administration of the mobility are handled by the University of Warsaw’s International Relations Office.
